Who we are

Helios One Oy ("we") runs StandbyBrief. Contact: hello@standbybrief.com, 3075 Clay St, San Francisco, CA 94115.

What we collect

• What you give us: your email, shop ZIP or address, trade and radius, and anything you write in a form: call requests (name, company, phone), "Wrong record?" reports, and, if you use them, feedback with a screenshot and the emails of teammates you invite.
• How you use the site and app: page views, clicks, searches, page errors, and a replay of each session. Replays include what you type into forms. Sign-in codes are never recorded, and password fields are hidden.
• Your device: browser and device type, your IP address, and an approximate location from it.
• How you arrived: the campaign tags, referrer and landing page of the first and last link you came from.
• Account and plan: trial dates and plan status. Billing is not open yet. When it is, card details go straight to Stripe and we never see them.

Also:

• When you sign up, your earlier visits to this site are linked to your account.
• We save the first and last campaign link you arrived from on your account.
• We use your IP address to flag bots and datacenter traffic, and to limit abuse of our forms.
• When you sign up, set a territory, ask for a list, report a record or book a call, Touko Ursin, co-founder of Helios One, gets an email with your email address and what you did.

Why we use it

• To show you cited homes near you and send the list you asked for.
• To run your trial or plan, and to send service emails about it.
• To understand how the site and app are used, and to fix problems in them.
• To filter out automated traffic, and to keep the service secure.

For visitors in the EU and UK, our legal bases are performance of a contract (your list and account), and our legitimate interest in running, measuring and securing the service.

Cookies and similar storage

On this site:

• sb_touch (cookie and local storage): how you first and last arrived (campaign tags, referrer, landing page). The app reads it too.
• sb_gate_email (local storage): the email you gave for a list, so the next download doesn't ask again.
• sb_claimed (cookie and local storage): remembers that you gave us your email or signed in to the app, so we don't ask for it again.
• sb_exit_shown (cookie and local storage): remembers that we showed you our one-time offer, so it never shows again.
• ph_* (PostHog cookie, local and session storage): a random analytics ID shared between this site and the app, linked to your email once you sign up.
• Session storage, cleared when you close the tab: sb_gate_trial (the email you started a trial with here), sb_reported (rows you reported) and sb_api (only set by our own test links).

In the app:

• __convexAuthJWT_* and __convexAuthRefreshToken_* (local storage): keep you signed in.
• sb_touch_first and sb_touch_last (local storage): your first and last arrival, including the first one from sb_touch.
• sb_cache:v1:* (local storage): your account and list summaries from your last visit, so pages open fast. Used only while you are signed in as the same person, and cleared when you sign out.
• sb-feed-sort (local storage): the order you picked for your list.
• sb_claimed (cookie): tells this site you have an account.
• Session storage, cleared when you close the tab: sb_login_pending (a sign-in step in progress) and sb_feedback_draft (feedback you haven't sent yet).

Who processes it for us

• Fly.io (hosting, United States), Convex (app database and sign-in), Resend (email), PostHog (analytics and session replay, EU cloud), and Stripe (payments, once billing opens).
• Addresses you type are placed on the map with the U.S. Census geocoder.

We never sell your data. We share it only with the services above.

How long we keep it

We keep account data while you have an account, and delete it when you ask. Analytics data follows our analytics provider's retention settings.

Your rights

You can ask for a copy of your data, a correction, or deletion by emailing hello@standbybrief.com from the address on your account.

Trial emails and list emails have an unsubscribe link at the bottom. One-off emails you asked for, like a sign-in code or a list you requested, have none.

Changes

If we change this policy we will update the date above, and email account holders about material changes.
